Onboarding Project Manager Job Brief:
The Onboarding Project Manager is responsible for leading and managing the end-to-end onboarding process for clients launching their eCommerce websites. This role ensures seamless collaboration between clients, designers, developers, and internal stakeholders while maintaining project timelines, resource management, and communication clarity. The Onboarding Project Manager will serve as the primary point of contact during the onboarding phase, ensuring client satisfaction and project success.This role is pivotal in ensuring clients have a smooth onboarding experience and successfully launch their eCommerce websites with confidence and clarity. The Onboarding Project Manager will play a key role in upholding Rank Really High’s mission to deliver exceptional cannabis digital and eCommerce solutions.

Responsibilities:

• As an OnBoarding Project Manager you are the first face of Rank Really High’s (post sale) customer experience. You are tasked with setting the pace, tone, and expectations for clients going through onboarding and will be responsible for a smooth transition to our Digital Strategy team.
• Serve as the primary point of contact for clients during the onboarding process.
• Oversee and manage the end-to-end onboarding lifecycle, from intake to post-launch handoff.
• Conduct kickoff meetings to set expectations, outline project milestones, and establish communication protocols.
• Manage project timelines and deliverables using tools like HubSpot and Confluence.
• Coordinate with designers to ensure brand alignment and timely design approvals.
• Work closely with developers to ensure staging sites are delivered and functional.
• Perform eCommerce, POS, and inventory integration setups using the Rank App.
• Oversee internal QA processes to validate website accuracy and functionality.
• Facilitate client staging reviews and incorporate feedback effectively.
• Facilitate the required parties for website launches.
• Ensure post-launch monitoring and coordinate handoffs.
• Document all communication, updates, and milestones in HubSpot.
• Escalate potential blockers to leadership members promptly.
• Ensure onboarding work is initiated in coordination with billing.

What You’ll Bring to the Team:

• Proven track record of project management success and client management.
• Knowledge of SEO best practices, keyword research, and analytics tools.
• Experience with WordPress, Elementor, Google Analytics and project management tools such as HubSpot and Confluence.
• Excellent client communication and interpersonal skills.
• Strong problem-solving and escalation management abilities.
• Ability to manage multiple projects simultaneously while maintaining attention to detail.
• Proficiency in POS and inventory integration systems (In Cannabis a plus e.g., Dutchie, Jane).
• Able to communicate effectively and document all communications using HubSpot.
• Ability to thrive in a deadline-driven environment.

Collaboration & Reporting:

• Reports to the Director of Onboarding.
• Collaborates with Sales Team, Designers, Developers, QA Specialists, and Digital Strategists.
• Provides updates to clients and internal stakeholders.

Key Performance Indicators (KPIs):

• Client satisfaction scores from onboarding surveys.
• Number of successful launches within defined launch windows.
• Percentage of projects with no major blockers/escalations.
• Accuracy and timeliness of documentation in HubSpot.

Location: Remote
